Funding and New Procedures for Student-Faculty Interactions

Dear Faculty Colleagues,

The Office of the Dean of the College and the Office of the Provost and Dean of the Faculty encourage you to continue conversations with students outside the classroom. We have set aside funding to support several opportunities for student-faculty interaction during the semester.

Dean of the Faculty Programs

Dean of the Faculty Refreshment Program

This program provides funding for faculty to share refreshments or a meal with their current classes (entire classes should be invited) outside of normal class meeting times. Key details include:

  • Allowance: $150 per class for the 2024–25 academic year. Please use department funds for any overages on this limit. Unused funds cannot be transferred to cover extra funds for another class. Mileage reimbursement to pick up food will not be covered.
     
  • Supplementary Funds: Available for classes with more than 25 students. Contact Cassidy Rodman for supplementary funding. 
     
  • Entire Classes Only: This program funds entire classes, not individual students or groups. Not to be used with Beyond °Ä²Ê¿ª½± trips, study group, or extended study trips/events.
     
  • Receipts Submission: Submit receipts through Concur within 30 days of the event per University policy (or use the budget code directly). The budget code is on the Google form.
     
  • Form: Fill out the  to access these funds.

Mentoring Coffee or Informal Meal

To build an inclusive community and foster a sense of belonging, funds are also available for faculty to meet with small cohorts of students who may not be in a class together.

  • Request: Send a brief description, including the number of students and the rationale, to Tammy Still (tstill@colgate.edu) for approval.

Dean of the College Meal Program

We support faculty/staff and student interactions in a residential dining setting. Meal vouchers for the faculty member and up to two students at a time are available at the Office of the Dean of the College in 103 McGregory Hall. You may pick up printed vouchers or call 315-228-7425 to have vouchers mailed via campus mail. Present completed vouchers at checkout with no additional paperwork required on the date of entry.

  • Allowance: One meal swipe, up to two students
  • Location: Frank Dining Hall
  • Student ID: Students on the board plan should swipe their I.D.
  • Vouchers: Use one of your vouchers for yourself and up to two students.
  • Limit: 10 vouchers during the 2024–25 academic year.

 

Helpful reminders for these programs

  • For mentoring meals, contact Tammy Still.
  • For DOC meal programs, pick up or request vouchers from Michele Carney before the time of the meal.
